HOW RECAPACITY WORKS
From recruiting activity to a capacity operating picture.
ReCapacity starts from evidence you already generate, applies calibrated effort assumptions you control, and produces a capacity picture with the reasoning attached.
INPUTS AND EVIDENCE
What the measurement is built from
ATS activity
Requisitions, stages, movement and timing, read from your applicant tracking system.
Workflow signals
Outlook and workflow signals where your organization has explicitly authorized them.
Your assumptions
Effort assumptions expressed in minutes and hours, owned and edited by your team.
Your thresholds
Capacity targets, leakage thresholds and recovery thresholds you configure.
No input is invented. Where evidence is incomplete, the report says so rather than filling the gap.
EVENT MAPPING AND CALIBRATED EFFORT
Turning events into effort you recognise
Each recorded event is mapped to the operational work required to produce it, and each activity carries a calibrated effort assumption expressed in minutes. You edit minutes, not abstract weights. That is what makes the resulting capacity picture arguable, defensible and specific to your organization.
Engine Room
The organization owns the model: every assumption, threshold and mapping behind the numbers is visible and editable.

THE RECAPACITY METHOD
Six steps from hours to decisions
- 01
Total Capacity
The finite hours the recruiting team actually has.
- 02
Allocation
How those hours are distributed across recruiting and non-recruiting work.
- 03
Utilization
How much of the available capacity is committed.
- 04
Productive Recruiting Capacity
The share going into work that advances hiring.
- 05
Estimated Recoverable Capacity
The share of Capacity Leakage that could realistically be returned.
- 06
Recovery
The specific automation or management actions a human chooses to take.
Estimated Recoverable Capacity is an estimate produced from your configured assumptions. It is not a guarantee of recovered hours.
AI COMMENTARY STANDARD
Every commentary carries four parts
- Root cause
- What is consuming the capacity, stated plainly.
- Recommendation
- The specific action proposed.
- Estimated recovery impact
- The estimated hours or capacity the action could return.
- Evidence
- The underlying figures the statement was derived from.
Commentary is generated from your evidence only. It does not act, send, approve or decide.
From evidence to action
A recommendation is opened, its evidence inspected, its estimated impact shown — and a person still approves it.

TWO KINDS OF RECOVERY
Not all recoverable capacity is recovered the same way
- Automation Recovery
- Capacity returned by removing manual effort: repeated reporting, status updates, coordination overhead and duplicate entry.
- Management Recovery
- Capacity returned by a management decision: rebalancing workload, resetting stakeholder expectations, escalating a blocked approval or simplifying a process.
A third portion is external: constrained by parties outside the recruiting team and not recoverable by the team alone.
HUMAN APPROVAL
ReCapacity prepares. People decide.
No recommendation is executed automatically. No communication is sent without a person reviewing and choosing to send it. The system's job is to make the decision obvious and evidenced, not to make it on your behalf.
TRANSPARENCY AND CALIBRATION
Every number can be traced back
Assumptions, thresholds, mappings and calculation inputs are visible and editable in the Engine Room, and are restated in the report appendix. If calibration is incomplete, the report states that the picture is incomplete rather than presenting an unsupported figure.
